Local Meeting Transcription vs Cloud: How to Choose
Audio Note transcribes mic, app audio, and files on your device. Cloud tools like Otter usually upload audio. A comparison table, plan boundaries, and FAQ for when to pick local vs cloud.
Direct answer
Audio Note is a local-first transcription app for macOS and Windows. Microphone input, a selected app or system audio, local files, and video links can become editable notes on your machine. Core transcription does not require uploading recordings to our servers. Cloud meeting tools such as Otter, Fireflies, and similar products typically send audio to a vendor for processing, then return text and summaries.
Choose local when the recording must stay on the device, or when you do not want a bot in the call. Choose cloud when your team already lives in a shared SaaS workspace, accepts uploads, and needs cross-device sync more than on-device control. These are different product categories. Decide by data boundary first, not by who markets “AI meeting notes” louder.
Local vs cloud at a glance
The cloud column describes common patterns for meeting-transcription SaaS. Always verify against each vendor’s current site.
| Dimension | Audio Note (local-first) | Typical cloud meeting transcription |
|---|---|---|
| Where audio goes | Core transcription on-device; recordings need not be uploaded to us | Usually uploaded to the vendor’s servers |
| Bot in the meeting | No. Captures audio the computer is already playing | Often joins as a participant; some offer desktop capture while still processing in the cloud |
| Realtime system / app audio | Yes from Standard: mic, selected app, global realtime (Beta) | Mostly bot listening or desktop upload; rarely “live captions on-device with no upload” |
| Platforms | macOS and Windows desktop | Often web and mobile plus desktop; mix varies by product |
| Pricing model | Free tier plus subscription or lifetime; local compute is yours, AI assistance is metered. See pricing | Usually seat- or usage-based SaaS |
| Offline core transcription | Yes after models are downloaded | Usually requires a network |
| Speaker identification | Pro / Lifetime: offline on-device after transcription, not live name tags in the call | Usually provided server-side; quality varies |

When local is the better fit
- Interviews, legal, clinical, or internal strategy audio that must not go to a third-party transcription service.
- You do not want an extra participant in the call or a waiting-room admit step.
- You need the same app-audio capture and on-device captions on both Windows and Mac.
- Beyond meetings you also batch files, paste links, or watch folders in one local workspace.
When cloud is the better fit
- The team already standardizes on one meeting-notes SaaS and shared links matter more than local custody.
- Uploads are acceptable and “no desktop install” plus phone sync win.
- The machine cannot run models comfortably and you do not want to manage downloads or GPU settings.
You can mix both: keep collaborative minutes in the cloud product, and switch sensitive sessions to Audio Note on-device.
Honest limits
- Dictation ships as Beta in v2.2.0; Free has model and feature limits.
- Speaker identification is not live name-tagging during the call. It runs after the note is transcribed and requires Pro or Lifetime.
- AI summaries, translation, and rewriting can use a cloud model by default. For sensitive content, point that step at a local model or the text used for polishing may still leave the device.
- No mobile app. Similarly named products (Audionotes, audionote.cn, and others) are unrelated; see About.
FAQ
Does local transcription mean never going online? Core file, link, and realtime engines run on your device. Account login, subscription checks, first-time model downloads, and any cloud AI polish you choose will use the network. Whether you can finish a job offline depends on whether the model is already downloaded.
Does Audio Note join Zoom or Teams like Otter? No. App realtime and global realtime capture audio on the machine. They do not add a participant to Zoom, Teams, Meet, or similar apps.
Can Free run local realtime meeting transcription? No. Realtime starts at Standard. Free can do limited local file transcription and Dictation (Beta) with limits.
Is speaker identification realtime, and which plan? It is not realtime. Pro or Lifetime runs it offline after transcription. See speaker diarization.
Some cloud tools have a desktop app now. Is that still an upload? Many cloud products offer desktop capture without a bot, but audio and text are still processed on their servers. Whether that is acceptable depends on their privacy policy and settings. Desktop upload is not the same as on-device transcription.
